Karbon & Taxnow Integration - What to Know

With the Karbon and TaxNow integration, IRS transcripts and tax alerts are on autopilot, giving firms a one-stop shop for all their clients' IRS information needs. 

Key IRS transcripts and alerts—including notices, letters, audits, and penalties—are automatically posted to Karbon's Triage, Timeline, and Document features, ensuring Client Owners and Managers receive timely, real time updates.

 

 

A detailed walkthrough of TaxNow’s integration with Karbon

What to expect when you connect Karbon to TaxNow:

  • On a daily basis, TaxNow automatically searches your clients' IRS transcripts for new activity.
  • When new IRS activity is detected, TaxNow checks the mapping that you have set between TaxNow Taxpayers and Karbon Contacts within TaxNow's Settings Page (See Step 2 below in order to set up TaxNow Taxpayer to Karbon Contact mapping).
  • When a TaxNow Taxpayer to Karbon Contact mapping is identified, TaxNow automatically posts an alert to the client's Timeline and deposits the relevant IRS Source Transcript straight into their Document feature within Karbon.

This empowers your team to respond proactively to client developments, providing immediate access to comprehensive activity details and the original IRS transcript without ever having to leave Karbon. 

 

Step 1: How To Connect Karbon to TaxNow

To connect, you’ll need to get your Karbon access key:

  1. Open your Karbon Dashboard
    ​

  2. Go to Settings


    ​

  3. Click on Connected Apps



  4. Click on TaxNow.




  5. Copy your access token by clicking Copy.




  6. Navigate to your TaxNow Dashboard and click on the Settings tab in the left-hand menu.




  7. Find the Karbon Integration and click on it to open the input.




  8. Paste the access token that you copied from Karbon into the input called Karbon Access Token.




  9. Below where you entered the access token enter the email of the Karbon User that you would like the IRS alerts to post into Karbon from (this must be the email of an active Karbon User within your account).




  10. Click the Save API key button and you are now ready to rock!

 

 

Step 2: How to Map your TaxNow Clients to your Karbon Contacts

This is an important step as this will dictate where your TaxNow Taxpayer Alerts and Transcripts are delivered to within Karbon. You have make sure that you either enter their unique Karbon Client ID or select the proper Karbon Contact from the dropdown within the Karbon Integration settings of TaxNow. 

 

Option 1 - Map using TaxNow's Mapped To Dropdown

  1. Open your TaxNow Dashboard and click on the Settings tab in the left-hand menu.





  2. Find the Karbon Integration and click on it to open the input.





  3. Locate the TaxNow Taxpayer within the Linked Accounts Section that you want to map to a Karbon Contact and click on the Mapped To dropdown.





  4. Select the Karbon Contact from the Mapped To dropdown.

     


  5. Congrats you should now see a success message alerting you that you have successfully mapped this taxpayer to the Karbon Contact and you are now ready to receive automatic alerts and transcripts into Karbon for this TaxNow Taxpayer.

 

Option 2 - Map using the unique Karbon Client ID

  1. Open your Karbon Dashboard
    ​

  2. Go to Contacts



  3. Select the Contact that you want to get TaxNow Alerts and Transcripts sent to.




  4. Click on the Details tab for the client.

  5. Locate or Create the Karbon Client Identifier and copy this ID.




  6. Navigate to your TaxNow Dashboard and click on the Settings tab in the left-hand menu.




  7. Find the Karbon Integration and click on it to open the input.




  8. Locate the TaxNow Taxpayer within the Linked Accounts Section that you want to map to the Karbon Contact you copied the Karbon Client Identifier from.

  9. Enter the Karbon Client Identifier that you copied into the text input for the TaxNow Taxpayer that you want to map to that Karbon Contact.

     



  10. Congrats you should now see a success message alerting you that you have successfully mapped this taxpayer to the Karbon Contact and you are now ready to receive automatic alerts and transcripts into Karbon for this TaxNow Taxpayer.
